Summer Retreat - Publicity/Brochure PDF Print E-mail

In getting the word out about the Summer Retreat, our primary means are a printed piece (brochure or postcard or combination of both), word of mouth, and online communications.
Here are some of the steps:
STAGE I Save the Date
1. Decide on a theme
2. Create a logo
3. Create a flyer or postcard, and a brief message to e-mail and post on website
4. Make sure the Winter Registrar or Office Mgr have these to put in Winter Retreat packets
DUE: The week before Winter Retreat (generally last weekend in February)
STAGE II Get the Word Out
1. get workshop descriptions and bios from the Workshop Coordinator
2. get prices from WR
3. Write another descriptive paragraph about the theme and activities for e-mail and website
4. Read through last year's text and determine what might need to be updated
5. Go find out from other committee members what those details are (is there a coffee house this year, are women to bring things for the altar, what are childcare hours, youth maiden activities, is there anything else you want attendees to know? ...)
6. Finish and polish the text
7. Proofread
8. Send to WR for a second proofreading
9. Post text and PDF registration form to website

DUE: Mid-April
10. Send out e-mail to all 900+ people on our list (Office Mgr)
11. Prepare a print layout (11x17 4 pages - 2 sheets both sides) plus 1 - 8.5x11 2-sided sheet for reg form
12. Get it to the printer (Office Mgr)
DUE: Mid-April if possible, first week in May at latest
13. Do other publicity -- Facebook, Witchvox, Continental UUWR*, District Assembly**, encourage other committee members and WR to hand out postcards
14. Mail brochure to churches and our women's group links in the churches (Ofc Mgr or Publicity Group)
15. Talk it up, bring friends, etc
16. Mail a brochure out when people call for info (Office Mgr)
* Contact UUWR or Office Mgr who may take postcards/brochures to several events:
   Heartland District (Michigan - Indiana - Kentucky) Annual Assembly in April
** Contact CMwD WR or Office Mgr for Central Midwest District Assembly in April
     UUA General Assembly (late June)
     send some to the UU Women's Connection for their Spring Conference (June 4-6)
